Our commitment to your privacy

Holistic Physio ("we", "us", "our clinic") is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). As a healthcare provider, we also handle sensitive health information with the extra care required under the APPs, and this policy explains what we collect, why, and how it is stored and used.

What personal information we collect

Depending on how you interact with us, we may collect:

• Contact details: name, phone number, email address and postal address.
• Health information: your presenting condition, medical history, referral letters, scan or test results, treatment notes and progress records.
• Billing and health fund details: Medicare number, private health fund membership and claim information, where relevant to your treatment or rebate.
• Booking details entered through our online client portal (Zanda Health), including appointment times and any information you choose to provide there.
• Basic technical information your browser sends when you load a page, such as the page requested. We do not currently run analytics or tracking software on this website.

How we collect it

We collect information directly from you, whether in person, by phone, by email, or through our online booking portal. We may also receive information from your referring doctor or other treating practitioners, with your consent, where relevant to your care.

How we use your information

• To assess your condition and provide safe, appropriate physiotherapy, acupuncture, Chinese herbal medicine or clinical Pilates treatment.
• To manage bookings, reminders and clinic administration.
• To process health fund and Medicare claims on your behalf, where requested.
• To communicate with you about your care, including follow-up and treatment planning.
• To meet our legal, professional and regulatory record-keeping obligations.

We do not use your health information for marketing without your explicit consent.

Who we share it with

We do not sell your personal information. We may share information, only where necessary, with:

• Your referring doctor or other treating health professionals involved in your care.
• Medicare, the Department of Veterans' Affairs, WorkCover or your private health fund, for claims and rebate purposes.
• Our online booking and clinic management provider (Zanda Health), which stores appointment and client record data on our behalf under its own security safeguards.
• Regulatory or legal bodies, where required by law.

Data storage and security

Clinical records are stored securely, whether in our practice management software or in physical files, and access is restricted to authorised clinic staff. We take reasonable technical and organisational steps to protect your information from misuse, loss, unauthorised access or disclosure.

Access and correction

You may request access to the personal and health information we hold about you, and ask us to correct it if it is inaccurate or out of date. We will respond to reasonable requests within a reasonable timeframe, in line with the Privacy Act.

Cookies and website analytics

We do not currently set analytics or advertising cookies on this website. If that changes, this policy will be updated first. Our online booking portal is operated by Zanda Health and may set its own cookies, which are covered by that provider's policy. Nothing of this kind is linked to your clinical records.

If you have concerns about how we have handled your personal information, please contact us first so we can try to resolve it directly. If you remain unsatisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy

We may update this policy from time to time to reflect changes in our practices or legal obligations. The current version will always be available on this page.
